Consultation, Booking & Payment Terms
Effective Date: [Insert Date]
These Consultation, Booking & Payment Terms apply to consultations, appointments, training, coaching, assessments, advisory services, and other professional services provided by Synergy Consultant Group (“Synergy,” “we,” “us,” or “our”).
By scheduling a consultation, booking a service, submitting a deposit, or otherwise engaging Synergy Consultant Group for professional services, the client acknowledges and agrees to the applicable terms below.
1. Complimentary 30-Minute Intake Consultation
Synergy Consultant Group offers a complimentary 30-minute initial intake consultation to prospective clients.
The purpose of this consultation is to:
Discuss the prospective client's needs, concerns, and objectives;
Provide an initial overview of potentially appropriate Synergy Consultant Group services;
Determine whether Synergy Consultant Group's experience and services are a suitable fit for the prospective engagement; and
Identify appropriate next steps, which may include a proposal, scope of work, service agreement, or additional consultation.
The complimentary consultation does not create an ongoing consultant-client relationship and does not obligate either party to enter into a paid engagement.
The complimentary consultation is intended for preliminary discussion and should not be considered a security assessment, vulnerability assessment, emergency plan review, executive functioning assessment, legal opinion, clinical evaluation, or other formal professional service.
2. Booking Paid Services
Following the initial consultation, Synergy Consultant Group may provide a proposal, service agreement, statement of work, invoice, or booking option describing the services to be provided, associated fees, anticipated schedule, and applicable deliverables.
A service engagement is considered confirmed only after any required agreement has been accepted and the required deposit has been received.
3. 50% Deposit
Unless otherwise stated in a written proposal or service agreement, a deposit equal to 50% of the total agreed service fee is required to secure a paid engagement.
The deposit reserves Synergy Consultant Group's professional time and allows planning, preparation, scheduling, research, travel coordination, or other work associated with the engagement to begin.
No project date, training date, assessment, coaching package, or other paid engagement is considered fully secured until the required deposit has been received.
4. Remaining Balance
Unless different payment terms are specified in writing, the remaining 50% balance is due seven calendar days before the scheduled service.
For projects involving multiple phases or extended periods of work, Synergy Consultant Group may establish a different payment schedule in the applicable proposal or service agreement.
All payment requirements stated in an individual proposal or service agreement take precedence over the general payment schedule stated here.
5. Cancellation and Rescheduling
Complimentary intake consultations may be rescheduled or canceled without charge. We ask that clients provide at least 24 hours' notice whenever possible.
For paid engagements, clients should provide written notice as soon as possible if cancellation or rescheduling becomes necessary.
Unless otherwise provided in the applicable service agreement:
Cancellations made 14 or more calendar days before the scheduled service may receive a refund of the deposit, less any nonrecoverable expenses or work already performed.
Cancellations made 7–13 calendar days before the scheduled service may result in all or a portion of the deposit being retained to compensate for reserved time, preparation, and expenses already incurred.
Cancellations made fewer than 7 calendar days before the scheduled service may result in the deposit being nonrefundable.
When practical, Synergy Consultant Group may permit the deposit to be transferred to a mutually agreed rescheduled date instead of being forfeited.
Any nonrecoverable travel, lodging, materials, venue, third-party, or other expenses incurred specifically for the engagement may remain the client's responsibility.
6. Cancellation by Synergy Consultant Group
If Synergy Consultant Group must cancel an engagement and a mutually acceptable rescheduled date cannot be established, payments received for services not yet performed will be refunded.
Synergy Consultant Group is not responsible for consequential or indirect losses resulting from a cancellation or rescheduling except where otherwise required by applicable law.
7. Travel and Additional Expenses
Travel, lodging, mileage, specialized materials, third-party services, or other expenses outside the agreed scope of work may result in additional charges when disclosed and agreed upon as part of the proposal or service agreement.
Engagements requiring significant travel may be subject to additional payment requirements before travel arrangements are made.
8. Scope of Services
Services will be provided according to the scope established in the applicable proposal, service agreement, statement of work, or booking description.
Requests that materially expand or change the agreed scope may require additional fees, additional time, or a revised agreement.
9. Safety and Security Consulting Disclaimer
Safety and security consulting services are intended to identify observations, considerations, vulnerabilities, practices, and opportunities for improvement based on the agreed scope of the engagement.
No security assessment, plan, recommendation, training program, policy, procedure, technology, or other measure can eliminate all risks or guarantee that an incident, injury, loss, emergency, or criminal act will not occur.
Clients remain responsible for determining which recommendations to implement and for complying with applicable laws, regulations, policies, codes, standards, and organizational requirements.
10. Executive Functioning Services
Executive functioning coaching, consultation, and educational services are intended to support skill development in areas such as planning, organization, time management, prioritization, task initiation, self-management, and related executive functioning skills.
Unless expressly stated otherwise in writing, these services are educational and coaching services and are not medical care, psychotherapy, psychological treatment, diagnosis, or other licensed clinical services.
When services involve a minor, appropriate parent or legal guardian consent may be required before services begin.
11. Client Responsibilities
Clients are responsible for providing accurate and reasonably complete information necessary for Synergy Consultant Group to perform the agreed services.
Clients are also responsible for providing appropriate access to facilities, personnel, records, schedules, policies, or other resources required by the agreed scope of work.
12. Confidentiality
Synergy Consultant Group will use reasonable professional care when handling confidential information provided in connection with an engagement.
Specific confidentiality requirements, sensitive security information, proprietary materials, student information, or other protected information may be addressed through a separate confidentiality or service agreement when appropriate.
13. Intellectual Property and Materials
Unless otherwise agreed in writing, training materials, methodologies, templates, presentations, worksheets, and other pre-existing intellectual property developed or owned by Synergy Consultant Group remain the property of Synergy Consultant Group.
Client-specific deliverables may be used by the client for the purposes established in the applicable agreement but may not be commercially reproduced, redistributed, sold, or represented as the client's original work without written authorization.
14. Payment Processing
Payments may be processed through third-party payment providers integrated with Synergy Consultant Group's website or scheduling system.
Clients are responsible for providing accurate billing information and for completing required payments according to the agreed schedule.
15. Acceptance of Terms
By scheduling services, accepting a proposal or service agreement, or submitting a required deposit, the client acknowledges that they have reviewed and accepted the applicable booking, cancellation, payment, and service terms.
Where a separate written proposal, statement of work, or service agreement contains terms that differ from these general terms, the terms of that specific written agreement will control with respect to that engagement.
